Order Processing in the PM System – Overview (Part-6)

Settlement

What Happens During Order Settlement?

During settlement, the costs collected on the maintenance order are passed on to the receiver specified in the settlement rule for that order.

The receiver will invariably be an object in accounting, for example the cost center for a functional location, the fixed asset to which the piece of equipment is allocated, or the main order used to monitor the work carried out under several minor maintenance orders.

This receiver is identified using

  1. receiver type for example, "cost center"
  2. a key for the receiver, for example, “511”

Preconditions for Order Settlement

The following requirements must be met before you can settle a maintenance order:

  1. The order must be released.
  2. The order must have status "Settlement rule created".
  3. The order should have incurred costs which have not yet been settled.

Settlement Receiver Types

The receiver of the costs of a maintenance order is usually independent of the reference object, which merely provides a proposal.

Receiver Types

The following receiver types are always available:

  1. cost center
  2. fixed asset
  3. project
  4. order
  5. G/L account

Planning in the PM Order

Planning in the PM Order - Overview

The maintenance tasks that are to be carried out at a technical object often require detailed advance planning, in order to minimize the time that the object is not productive.

Planning a maintenance task as accurately as possible enables the employees on site to carry it out in a specific and efficient manner. This is extremely important in the case of objects which cause bottlenecks and may lead to a shutdown when they are out of order.

This section covers the following topics on planning in maintenance orders:

  1. Work Scheduling With Operations and Sub-Operations
  2. Work Scheduling with Sub-Orders
  3. Material Planning
  4. Permits
  5. Estimating Costs
  6. Budget Management
  7. Estimating Planned Costs
  8. Settlement Rule

Order Processing in the PM System – Overview (Part-3)

Creating a PM Order

Ways of Creating a PM Order

You can create a maintenance order in five ways:

  1. For a maintenance notification, in order to plan the maintenance tasks requested to do this, see Creating a PM Order for a PM Notification.
  2. Directly from a maintenance notification, allowing you to plan the maintenance tasks requested immediately to do this, see Creating a PM Order Directly from a PM Notification.
  3. Directly as an independent order, initially without reference to a maintenance notification to do this, see creating a PM Order without First Creating a Notification.
  4. For a maintenance planning plant that is different to the one in the master record of the reference object to do this, see creating a PM Order with a Different PM Planning Plant.
  5. automatically from a maintenance plan To do this, see Creating a PM Order Automatically From a Maintenance Plan

Order Processing in the PM System – Overview (Part-2)

Data Groups in the PM Order

This section describes the data groups in the maintenance order, their functions and contents. It covers

  1. Header Data
  2. Location and Account Assignment Data
  3. Object Data
  4. Cost and Settlement Data
  5. Operation Data
  6. Administrative Data and Control Parameters

Header Data

Header data is information which is used to identify and manage the maintenance order and applies to the whole order. Header data is contained in the header of every maintenance order and comprises:

  1. number , description and type of order
  2. schedule dates for order execution, priority of the task, allocation to a revision
  3. Reference object (see Object Data.)
  4. administrative data

1. name of the person who created and last changed the maintenance order

2. dates the order was created and last changed

  1. maintenance activity type
  2. regular maintenance data

Location and Account Assignment Data

The system copies the location data and the default account assignment from the master record of the reference object; this is valid for the entire maintenance order:

Location: data this describes where the functional location or the equipment is sited within the

Account assignment data: this specifies the account to which the maintenance costs are normally to be debited. It is proposed from the master record of the reference object and can be changed when you maintain the first settlement rule for the order.

Object Data

As a rule, a maintenance order refers to one or more objects, where the term "object" can mean

Cost and Settlement Data

This data tells you:

  1. the planned and actual costs in the value categories for this order
  2. whether the costs are to be settled to a cost center, an asset, an order or a project
  3. which cost elements are relevant for the order
  4. which key figures from the Plant Maintenance Information System are updated using the value categories, and how these key figures are updated by the actual order costs

Operation Data

Using operations, you describe the work to be done when carrying out the maintenance order. Operations can be subdivided into sub-operations.

Operation data can be subdivided into the following three groups:

  1. data contained in both operations and sub-operations
  2. data contained only in operations
  3. data contained only in sub-operations

Administrative Data and Control Parameters

The administrative data and control parameters of a maintenance order contain the following information:

  1. Administrative data
  2. Profiles
  3. Parameters
  4. Planning indicator

Order Processing in the PM System – Overview (Part-1)

This section provides an introduction to maintenance orders, the essential element in the planning and processing of maintenance tasks.

Maintenance Processing in the PM System

The PM System supports the entire plant maintenance department in planning, processing and settling maintenance tasks. You can enter, plan, monitor and report all the tasks to be carried out by the plant maintenance department. This includes both tasks that are not planned or that are due to malfunction, and regular maintenance and inspection measures.

Maintenance processing (PM processing for short) in the PM System covers several levels which need not necessarily all be processed in full. Each company can determine its own maintenance processing procedures according to its requirements.

Elements of PM Processing

Maintenance processing for unplanned tasks consists of three essential elements:

  1. maintenance notification

1. reports a malfunction at a technical object

2. requests maintenance tasks

3. describes the condition of a technical object

  1. maintenance order

1. plans the execution of maintenance tasks

2. monitors the work progress

3. allocates the costs for the maintenance task

  1. maintenance history

1. stores important PM data on a long-term basis

2. makes this data available for evaluations at all times

Main Steps in PM Processing

Main Processing Steps

The processing of unplanned maintenance tasks in the PM System can be subdivided into the following steps:

  1. Notification of a malfunction or a defect in a system or part of a system, in other words, a description of the system condition
  2. Requesting a maintenance task
  3. Creating a maintenance order and planning the task
  4. Releasing the maintenance order
  5. Executing the order
  6. Completing the task and confirming that the order has been completed
  7. Entering technical information such as findings, causes and downtimes
  8. Completing the maintenance notification and the maintenance order, storing the relevant data for evaluations and for planning future maintenance activities

Overview in Graphic Form

Which Steps Does This Document Describe?

Steps 1, 2 and 7 refer to the maintenance notification and are described in PM Maintenance Notifications.

Steps 3, 4, 5 and 6 refer to the maintenance order and are described in this document.

Step 8 refers to the maintenance notification and the maintenance order, and is described In PM Maintenance Notifications for notifications and in this document for maintenance Orders.

The maintenance history is described in the document PM Maintenance History.

The Maintenance Order

If, for example, a technical object malfunctions or is damaged, maintenance tasks may have to be carried out to restore the ideal condition of the object.

You make the initial request for the necessary tasks using a maintenance notification. However, to plan the necessary tasks in detail and to monitor their processing, you need to use a maintenance order. You can choose whether to refer the maintenance order to the relevant maintenance notification or not.

Functions of the Maintenance Order

In the malfunction report, you describe the current condition of a technical object and outline the maintenance tasks required; in the maintenance order you can describe the repairs required in greater detail.

The system provides a wide range of functions for planning, processing and settling the order:

  1. Planning Functions
  2. Processing Functions
  3. Settlement Functions

Planning Functions

The following functions are available in the maintenance order to help you plan maintenance tasks:

  1. You can schedule the tasks for one or more technical objects.
  2. You can describe the tasks to be carried out in detail.
  3. You can specify which work centers are to carry out the tasks.
  4. You can describe the individual operations which are to be carried out in detail and specify the planned execution time and the number of persons involved.
  5. You can plan materials, using object-specific bills of material if required.
  6. You can specify the settlement rules.
  7. You can include task lists in the PM order to assist in preparing the maintenance task.
  8. You can plan the tasks to be carried out by your own employees or an external company.

Processing Functions

The following functions are available in the maintenance order to help you carry out the maintenance task and monitor the work:

  1. You can print shop papers for the maintenance order.
  2. You can make planned or unplanned material withdrawals from the warehouse for the order.
  3. You can enter confirmations which document the work progress.

Settlement Functions

You can settle the costs resulting from a maintenance task in one of the following five ways:

  1. to a cost center
  2. to a fixed asset
  3. to a project
  4. to another order
  5. to a G/L account

Completion of a Maintenance Order

You can create a maintenance order in response to one or more maintenance notifications. You can also subsequently create a maintenance notification for a maintenance order that was created directly, for example, in order to enter machine breakdown data or system availability data with reference to the work carried out at particular objects.

Both the maintenance notification and the maintenance order are completed, once the repairs that were requested have been carried out. There are two completion procedures:

  1. technical completion For information on this, refer to Technical Maintenance Order Completion
  2. business completion For information on this, refer to Business Completion of a Maintenance Order

SAP PM Maintenance Processing

Chapter 08: Evaluating Maintenance Notifications

The data from the completed maintenance notifications and orders is of great importance in planning future maintenance activities efficiently and reliably, and analyzing past problems, malfunctions and activities.

The data is stored in the maintenance history, where it is available for evaluations. The following options are available in the SAP System for evaluating maintenance data:

  • You can evaluate maintenance notifications separately (see below, and the SAP document PM Maintenance History for historical notifications).
  • You can evaluate maintenance orders separately (see PM Maintenance Orders).
  • You can perform a comprehensive evaluation of maintenance processes using key figures (see Logistics Information System).

SAP PM Maintenance Processing

Chapter 07: Completing Maintenance Notifications

Requirements for Completing a Maintenance Notification

You should only complete a maintenance notification once it has been processed completely. This means that all the

  1. data relating to the reference object of the maintenance notification has been entered and is correct.
  2. relevant item data has been entered and is correct.
  3. relevant task data has been entered and is correct.
  4. tasks have been completed or released; there are no more notifications outstanding.
  5. technical data relating to machine breakdown and availability has been entered and is correct.

The history can only be compiled in such a way that it can be used for future evaluations, once the maintenance notifications contain this data.

Consequences of Completing a Maintenance Notification

When you complete a maintenance notification, the following occurs:

  1. The reference time is determined. The system bases it on the data in the maintenance notification, but you can overwrite it. The reference time is the date and time at which the maintenance notification is listed in the history with the location and account assignment data valid specifically for the reference object.
  2. The system enters the maintenance notification in the history with the exact location and account assignment data that was valid for the reference object at the reference time.
  3. The maintenance notification is now blocked for changes, in other words, you can no longer change the notification data.

Completing a Maintenance Notification

There are two ways to complete a maintenance notification:

  1. Complete it directly with the change function (see Completing a Maintenance Notification Directly )
  2. Complete it from the order to which it is assigned (see Completing the PM Notification from the Order )

SAP PM Maintenance Processing

Chapter 6: Deleting Maintenance Notifications

You may want to delete one or more entered maintenance notifications (for example, because the malfunction reported is covered by another malfunction report or because an activity report was inadvertently entered twice). This section describes how you delete maintenance notifications in the PM system.

You cannot delete a maintenance notification directly in dialog mode. Instead, you set a deletion flag in the maintenance notification, which informs the system that this maintenance notification can be deleted. Under future releases, an archiving program will be started in your company at certain intervals. This program will check the maintenance notifications with deletion flags, then convert the deletion flags to deletion indicators and finally delete them from the database and copy them to an archive.

Before you delete a maintenance notification, you should make sure that it is no longer needed. Once a maintenance notification has a deletion flag it can no longer be changed; it can only be displayed. It has the statuses Deletion fllag activated and Completed. The individual tasks for the notification are also flagged for deletion when you set the deletion flag in the notification header.

SAP PM Maintenance Processing

Chapter 5: Postponing a Maintenance Notification

It may be the case that a maintenance task is to be carried out at a predefined date in the future, for example, if the task can only be carried out when the machine is switched off. You can then select an existing revision of the machine for carrying out the task. The malfunction report for the task should therefore be postponed until this date.

If the postponed tasks are to be checked, planned further and put in process for this date, you as maintenance planner can quickly request and evaluate a list of all the relevant maintenance notifications, using the notification status and the selection functions for maintenance notifications.

SAP PM Maintenance Processing

Chapter 4: Allocating a Maintenance Notification to an Order

Overview

For detailed planning and execution of a maintenance task you need a maintenance order. In the PM system this can either be an order for a single maintenance notification or one for several notifications. For example, there are cases where several defects at the piece of equipment are to be repaired during a particular maintenance schedule, or where a particular maintenance operation is to be carried out on objects connected in series on a particular date.

Detailed information on order processing is provided in
PM Maintenance Orders. However, you will also find a short description of the link between maintenance notifications and maintenance orders in Link Between Maintenance Notification and Maintenance Order.

Allocating a Maintenance Notification to a Maintenance Order

If you want to allocate a notification to an order which does not yet exist in the system, proceed in one of the following two ways:

  1. You create an order from the maintenance notification, but do not branch to it. The order is created in the background using the existing maintenance notification data. You access this function with the menu option Create. Option 1: Creating a New Order
  1. You create an order from the maintenance notification and branch to it in order to continue processing it immediately. You access this function with the menu option Create/notification. Option 2: Creating a New Order for the Notification
